Overview
The Natural Resources Defense Council (NRDC) is seeking a full-time program assistant for the China Coal to Clean Initiative, to be based in NRDC’s Beijing office.

 

NRDC is an international nonprofit environmental organization with more than 3 million members and online supporters. Since 1970, our lawyers, scientists, and other environmental specialists have worked to protect the world's natural resources, public health, and the environment. NRDC works in countries and regions including the United States, China, India, Canada, Mexico, Chile, Costa Rica, and the European Union.

 

For two decades, the NRDC has been a thought leader and trusted adviser to our partners in China. With a highly effective team of more than 40 based in our Beijing office, we have worked hard at both the national and local levels to recommend, develop, and help implement innovative laws, policies, technologies, and market tools that curb pollution and accelerate China’s transition to a clean, low-carbon economy. NRDC's Beijing Representative Office is registered under the Beijing Municipal Public Security Bureau and supervised by the State Forestry and Grassland Administration of China.

 

Position Summary:

 

The China Coal to Clean Initiative Program Assistant (PA) will be responsible for supporting the team with project administration and contract management. The PA will play an important role in enhancing the effectiveness of project management and ensuring the integrity of financial operations and reporting.

 

The Program Assistant will be based in NRDC’s Beijing office and will be an integral part of the NRDC China Coal to Clean Initiative and China Program.

Responsibilities
Administer the contract process in NRDC’s grants and contracts management system, coordinating with project associates/analysts and the legal department to initiate, maintain, and amend contracts or subgrant agreements, and to close the contracts/subgrants in a timely manner;
Centrally process project payments and ensure proper invoicing and disbursement to partners upon satisfactory completion of deliverables;
Assist team leaders in the management of project budget and spending. Track project expenditures, provide timely financial analysis to team, and reconcile the program budget internally with team leaders and the accounting department;
Assist team leaders in funder reporting;
Assist in organizing and coordinating research progress review meetings, including communications before and follow-up after the meetings. Provide logistics support for other meetings, including assembling meeting materials, arranging or providing translation services, taking notes and developing meeting summaries, etc.;
Work with team members to monitor and track project progress and ensure on-time delivery of deliverables, and coordinate with and ensure effective communication and collaboration among project partners;
Undertake additional tasks and responsibilities as assigned by team leaders, and support colleagues as needed.
Qualifications
Bachelor’s Degree required (preferably in public administration, management, English, international development, environment, energy, or a related field)
Experience working in the public and/or non-profit sector desired
Experience working with Excel, Word and Powerpoint for project management
Strong process orientation with sensitivity to quality, timelines, and organizational systems
Excellent oral and written Chinese and English
Strong organizational and planning skills and a team player
Care for details, accuracy and high-quality output
Self-motivated, and able to work in a fast-paced environment and work under pressure managing multiple tasks to meet deadlines
